Please be aware that on 12/15, 12/22 and 12/29 there will be a major concrete pour at the School of Veterinary Medicine construction site located at 38th and Woodland Ave. This activity will occur between the hours of 7am until 7pm. Approximately 100 cement trucks will be unloaded on each of those dates. The trucks will stage on Woodland Ave in front of the Woodland cemetery. Traffic lanes will be reduced in the area of the construction site. It is suggested that an alternate route be used on those dates to avoid delays. University police will be on location for traffic control.

Dear Library Colleagues,

I am pleased to announce that Sara Jane Stone has been given the title Assistant Director for Library Development and External Affairs. This is in recognition of her sterling service to the Penn Libraries, as well as her agreement to undertake new duties. Chief among them is Stewardship. Sara Jane is now the go-to person on stewardship, as well as the make-it-happen person. With hundreds of named funds and named spaces, this is a very big area for library development. Details are appended.

This change also frees our Associate Director, Chris Foley, to focus even more on Major Gift Prospect Cultivation and Solicitation.

Please join me in congratulating Sara Jane and Chris on their new duties and strengthened mandate for leadership in their respective areas.

12/07 - Bob Persing: Changes in Postcataloging

Beginning next week, Marvin Brown, the Binding Specialist in the IPC's Postcataloging Dept., will assume a new position in Access Services. Since Clarence Wilson's retirement, Marvin has served as the primary contact person for staff with binding and marking questions.

That role will now be assumed by Illene Rubin, who will take over supervision of Postcataloging as of Monday 12/13. Her title will be Acting Head of Postcataloging. Illene has been with the Penn Library for 18 years, as a part-time librarian in the Data Maintenance unit (formerly called Circ. Input) of Access Services. She will still be part-time at first, but will increase to full-time early in 2005.

12/06 - Heather Glaser Reminder: Next Librarians's Assembly Meeting

Casting a Wider Net: Affirmative Action in the Library

What is "affirmative action," and why is it imperative that we recruit minorities to our profession and to Penn's Libraries? Two special guests: Jerome Offord from ARL and Ralph deLucia from Penn's Office of Affirmative Action and Equal Opportunity will join Val Peña and Bob Eash on a panel to discuss some of the important issues involved and talk about a number of ongoing initiatives which address the current imbalance. Carton Rogers will also speak on the topic.

Please join us at the next Librarians' Assembly program scheduled for Thursday, December 9th from 10:00 a.m. to 11:30 in the Class of '55.

As usual, refreshments will be available in the back of the room as you enter.
12/06 - Michael Ryan: Kathy Peiss Lecture Thursday

Just a reminder that Prof. Kathy Peiss of the History Department will give a fascinating talk this coming Thursday at NOON in the Class of '55 Room: "The Secret Life of a Librarian." The talk focuses on the relationship between professional librarians and military intelligence during and after WW II. Please do plan to join us.

Some have asked about the length of talk: 45-50 minutes or so, with a few minutes for Q & A. Prof. Peiss has an appointment right after the talk so she will need to leave at 1:00.
12/05 - Nancy Rose: Help Desk Announcement
Dear Colleagues,

The Systems staff have been working on ways to improve our efficiency, responsiveness, and communication. One step we have taken is to establish a persistent Helpdesk presence in the Systems office from 9 to 5, Monday through Friday, effective Monday, December 6. This schedule may be modified during semester breaks.

Between the hours of 9 and 5 you will find a friendly face at the desk in the Systems office and a human will answer the phone (unless they are on the phone, but you can leave a voicemail). Most general procedures for reporting problems have not changed.
•  call 8-4824 or send an email to libtech@pobox to report a problem, you may also stop in at the Systems Office (VanPelt Rm 233)
•  for problems that affect more than one workstation, person, or service, send an emergency page (found at: http://staffweb.library.upenn.edu/forms/page- libsys.html ) or if you are unsure if you should page, call 8-4824
•  if a patron is having trouble with a public computing service that public service desk staff are unable to address, the staff member may call the Helpdesk (8-4824) and we will contact Doug Smullens or the Lab ITA and get back to you with next steps
•  Staff may also call the Helpdesk to get updates on service requests submitted
This is a new service model for us, we will be learning as we go, so please do give me feedback. In the near future we will be rolling out new helpdesk software, which we hope will further improve service and responsiveness. We look forward to continuing to provide system support to the library community. Please let us know how we’re doing.

12/02 - John Keane: Thefts
FYI,

For the past couple of weeks there have been a series of thefts in the Van Pelt Library. Last evening, after a thorough investigation, the Penn Police arrested one of the thieves in the Library and he will be charged with several counts of theft. This male had a male accomplice who is still at large. The accomplice is entering the building through the staff entrance at the rear of the building or through the Cafe garden. I ask all staff to be vigilant. Do not prop open the rear door and report any unknown persons who try to enter as you are exiting or entering to the guard station 8-5444. If you see anyone jump into the garden from the surrounding walls, also call the guard station immediately.

Each year the Library specifies the period of time during which Special Winter Vacation days are to be taken. This relates to staff members who must work on any or all of the "official" University sponsored SWV days. This year they are: December 27, 28, 29 & 30.

11/29 - Michael Ryan: Edgar Fahs Smith tour

A reminder that Lynne Farrington, who put together the marvelous exhibit on Edgar Fahs Smith in the Kamin Gallery, will be giving a tour of the exhibit tomorrow, Tuesday, November 30th at 11:00 AM. Smith was a distinguished chemist and University administrator in the early 20th century. He contributed much to the growth and development of Penn, while educating generations of young women and men. He was also a major book collector, whose library is part of the Rare Book & Manuscript Library's holdings.

We are happy to announce that Robert Cagna has accepted our offer of the position: Head of Access and Document Delivery Services in the Biomedical Library and will start at Penn on January 10, 2005. Rob comes to us from the American Association of Retired Persons (AARP) Information Center in Washington DC where he has served in increasingly responsible positions over the past ten years, most recently as Senior Research Information Specialist and Webmaster. We look forward to the fresh perspectives he brings from a variety of settings outside the academic arena. 11/04 - Bob Eash Workstation Ergonomics Seminar
All Staff,

Please be advised that a second workstation ergonomics seminar will take place this coming Monday, November 8th at 2PM in the Class of 1955 Conference Room on the second floor of VPDLC.

Staff from Environmental Health and Radiation Safety will be on hand to present helpful tips on stress and strain reduction, proper ergonomics (chair, desk, computer, mouse, etc). The first session was well attended, and the feedback was extremely positive. If you spend a good deal of your time behind your desk, working on a computer, you would likely find the information provided to be quite helpful.

11/03 - Orna Snow Day Child Care 2004/05

Human Resources is once again arranging for Snow Day Child Care for the children of Penn faculty and staff, from twelve weeks through twelve years of age. The program will run from December 6, 2004 through March 25, 2005. It will be available when the University is open but the Philadelphia schools are closed due to inclement weather. Children attending schools in other districts also are welcome.

Snow Day Child Care will operate between 8 a.m. and 6 p.m. in the Penn Children’s Center at Left Bank Commons, Suite 100, 3160 Chestnut St.

10/29 - Michael Ryan: Kathy Peiss Lecture: "The Secret Life of a
Librarian"


Prof. Kathy Peiss of the History Department will present a lecture on the role of librarians in intelligence work during WW II on December 9th at noon in the Class of '55 Room. Prof. Peiss, as you will know from a previous note from Stephen Lehmann, is embarked on a fascinating research project that deals with the role of librarians during and immediately following WW II. Please join us in December.
10/27 - Stephen Lehmann: "The Microfilm Men Go to War" - presentation by Kathy Peiss, History Dept.

The next meeting of the workshop in the History of Material Texts will take place on Monday, November 1, at 5:15 in the Penn Humanities Forum, where Kathy Peiss will be telling the story of what happens when "The Microfilm Men Go to War." Kathy describes her project as follows:

"During World War II, a number of American librarians left the familiar precincts of academia to enter the world of intelligence and espionage. Recruited by the Office of Strategic Services, they traveled to neutral cities in Europe and Asia, where they collected books, periodicals, and technical reports useful to the war effort. The need for printed intelligence challenged OSS headquarters in Washington to solve problems of reproduction, distribution, and classification through emergent technologies (notably microfilm, the 'material text' of my story) and by developing indexing and abstracting procedures in a pre-computer age. The concept of 'documentation,' later to be called 'information science,' was already in circulation but took on new urgency during the war. At the same time, the librarians' experiences in such outposts as Lisbon and Stockholm led them toward an understanding of intelligence that blurred the lines between print and the spoken word. Buying in a grey market for books and periodicals, circulating in a world of intrigue, shipping reports of dinner-table gossip along with reels of microfilm: such acts turned librarians into intelligence agents, and ultimately integrated them closely into the military machine in the final stages of the war.

My talk is part of a larger work on librarians during World War II and the postwar years, their growing relationship to the military and the state, on the one hand, and their involvement with cultural reconstruction, on the other. A member of my family - so I learned by chance a few years ago - was a librarian and OSS agent in Lisbon during the war. Tracking down his story led me into this much bigger one."

Kathy Peiss is Roy F. and Jeannette P. Nichols Professor of American History at the University of Pennsylvania and author of Major Problems in the History of American Sexuality, Hope in a Jar: The Making of America's Beauty Culture, and Cheap Amusements: Working Women and Leisure in Turn-of-the-Century New York.

10/22 - John Keane: Police Emergencies
FYI,

This is to remind you that if you are on campus and an emergency situation occurs, you should dial 511 from any University telephone to contact the Police Department. If a medical emergency occurs and you are on campus, you should also dial 511 from any University telephone. By dialing 511, University Police will immediately respond and Philadelphia Fire Rescue will also be notified. University of Pennsylvania Police are trained and certified to administer First Aid and CPR. University Police are also equipped and trained to operate AED's (Automated External Defibrillators). When an University telephone is not available, dial 215-573-3333 for emergency response. It is strongly suggested that you incorporate the 573-3333 phone number into your cell phone speed dialer.
10/22 - John Keane: Fire Alarm on Wednesday
All,

Kudos to all staff for your performance during Wednesday's fire alarm. As you may have heard, this was not a drill. The alarm was sounded as a result of a popcorn bag being left too long in a microwave in the staff lounge and creating smoke. Everyone cooperated with floor captains and the building was evacuated quickly and safely. The delay in reentering the building was the result of a malfunction in the alarm equipment that prevented one of the alarms from being turned off after the Fire Dept gave the all clear signal. That problem was repaired immediately following the reentry. Thanks for your patience during this delay.

One thing we learned from this actual evacuation is that people are not evacuating far enough away from the building. You should go at least 30 feet from the building after evacuating to avoid possible shattered glass. On the college green side of the building please head for the Ben Franklin statue near College Hall. On the Walnut St. side, please do not remain in the driveway area since that is where the Fire Dept will need to coordinate their activities. Walnut Street evacuees should head toward 34th St. or Adams Hall. If Library staff members set the example and urge visitors to also move far from the building we can greatly improve safely.

As a reward for our collective excellent performance, we have been rewarded by the University's Public Safety Dept which has cancelled our fall fire drill originally scheduled for next week.

Again, thanks to the floor captains and everyone for your performance on Wednesday.
10/21 - Bob Eash Access Services (Bargaining Unit) Positions TB Posted
ANNOUNCEMENT:

As you may know, VP Access Services has been working on a plan for the redistribution of some bargaining unit work due to the changing work needs of the department as a whole. Presently, three B/U slots are vacant within the department and filling them has been on hold while we defined present needs.

Three new positions (two LSA positions and one Clerk position) have been created for the three slots, and we are now prepared to post and fill these vacancies.

The position description for each position follows for the review and consideration of all interested parties. The three positions will not be posted at the same time. Rather, they will be posted one at a time over the next few weeks, beginning tomorrow. Each position will be "actively" posted for the requisite 5 working day period specified in the labor agreement. Interested individuals are to contact Andrea Luckey to place their name on the list. A written request is required (e-mail, hand written note delivered, etc.). You cooperation is appreciated.

The order of posting will be: Evening LSA (Stacks)- first, Clerk- second, LSA (ILL)- third. Should you have any questions about this process or the positions, please feel free to contact me. I have attached the documents for those who can open attachments.

10/15 - Bob Eash Two Upcoming Training Sessions- Ergonomics and Body Mechanics
ANNOUNCEMENT:

This is to let you know that the Library is sponsoring two upcoming seminars, open to all Library staff members, that will be led by the Industrial Hygienists on the staff of the Office of Environmental Health and Radiation Safety...

Each program will will be held twice. The first program, Workstation Ergonomics, will focus on subjects such as proper placement of computer equipment, posture issues, minimizing fatigue etc. The first "ergo" session is scheduled for October 28th, 10:30AM to approx. 11:30AM. This session is jointly sponsored by HR and the Librarians' Assembly. (This meeting is actually in the time slot of the regularly scheduled October Assembly meeting.)

The second Workstation Ergonomics seminar is scheduled for November 8th, 2PM to approx. 3PM, and is open to all staff who use a computer workstation.

BOTH of the above sessions will be held in the Class of 1955 Conference Room on the second floor of the VPDLC. No advanced registration is required. Please coordinate attendance with your supervisor. Each session can accommodate approx. 50 individuals. If we are overwhelmed, and can not accommodate al attendees, we will schedule an additional session. NOTE: The program was created and is being led by April Routson and Karen Kelley, Industrial Hygienists with Penn's Office of Environmental Health and Radiation Safety. April and Karen are quite familiar with our Library, and they have been very helpful in conducting ergonomic workstation audits for many of us.

Please plan to come out to participate in what will definitely be an informative seminar!

April and Karen have agreed to lead a second program, Proper Lifting Techniques & Body Mechanics, which should be of interest to staff members who routinely are required to perform physical exertion of this type (lifting, pushing, pulling, reaching, bending, etc.) on a regular basis. Two sessions are planned, and take place on November 10th., 11AM to Noon, and November 15th., 1:30PM to 2:30PM.
10/15 - Lauris Olsen New JSTOR collections in Penn Library Web
Dear library colleagues --

We've brought online over the past couple weeks two new JSTOR collections: JSTOR Arts & Sciences IV Collection and JSTOR Arts & Sciences Complement. These additions provide us with complete holdings for JSTOR-archived titles.

A&S IV covers business, law, public policy and administration, psychology, and education. There's considerable law journal duplication with Hein Online and some of the business titles have been available through JSTOR's Business Collection.

The real treasure is A&S Complement which adds important titles JSTOR hadn't been able to obtain earlier. The biggies here are the Annals of the American Academy of Political and Social Science (edited here at Penn since 1890), and the Proceedings AND Transactions of the American Philosophical Society (PAPS, 1838- . TAPS, 1769, yes, 1769 - ).

There is neat stuff here: Rittenhouse's 1770ish account of our own Orrery. (TAPS vol. 1) John Bartram's Diary of a Journey through the Carolinas (PAPS 1942) W.E.B. Du Bois's The Study of the Negro Problems (AAPS 1898) Articles by Ben Franklin on lightning rods and sea anchors (TAPS) and countless articles by current and past Penn faculty members and affiliated scholars in all three titles.

10/06 - Grover McKenzie: Staff changes in Information Systems

The recent staff changes in Information Systems will not require Library staff to modify the way they interact with our department. All Systems/computing related problems and request should continue to be directed to libtech@pobox.upenn.edu or 898-4824. The intake person will properly direct all request. Systems emergencies should be reported via the Library StaffWeb using the "Page Library Systems" link (at left) on the Emergency index.

Although Jeff Murphy 's coming departure for Penn Nursing will have an impact on our Systems Administration team, we plan to minimize the impact felt by Library staff and patrons. All services formerly supported by Jeff will continue to be supported by their designated backup systems administrator. We have always practiced two-deep coverage for critical Library services.

The information Systems Department once again has 3 Systems Technicians. Early Cooper rejoins Ray Holcombe and Dottie Archey to round out the team of Systems Techs.
10/06 - Grover McKenzie: Congratulations to Jeff Murphy

Please join me in congratulating Jeff Murphy of Library Systems as he prepares to move on to his new position as Director of Network Services for the School of Nursing. Jeff has been an integral part of the Library Systems team for the past 5 years. We will surely miss his breadth and depth of knowledge and technical skills.

All, FYI:
•  Friday 10/1/04: Sansom Street will be closed at 36th Street from 6am to 11am for repairs to steam pipes.
•  Sunday 10/3/04: Due to street cleaning, parking will be prohibited at the following locations from 6am to 11am:
- Market St. from 30th to 40th Street (both sides)
- Walnut St. from 30th to 38th Street (both sides)
- 38th Street (west side only) from Market Street to Spruce Street
•  Monday 10/4/04: Major construction is expected at the Woodland/Baltimore/University Ave intersection. University Police will be on site for traffic control. It is suggested that you plan an alternative route.
9/29 - Rick Bobst: Power Outage

Around 3:30AM we lost all power to the northwest section of DGL from ground to 6th floor. That includes lights and outlets. Facilities has been notified but they are dealing with many storm related crisis and they will get to us as soon as possible.

The elevators in DGL work but there are no lights in them. The power to the lights come from the NW quadrant that went out.
9/28 - Carton Rogers: Scanning Task Force

I want to alert you to the formation of a Scanning Task Force that has been charged to review staff and public scanning services in the Van Pelt Dietrich Library Center. The members of the Task Force are John Keane (Chair), Sandra Kerbel, Emily Batista, Bob Krall, Nancy Rose, David Toccafondi, Jessica Brangiel and Melanie Cedrone. In early November, Marcella Barnhart, a recently-hired librarian in Lippincott, will join the group. The full charge is online.

9/23 - Carton Rogers: Digital Library Reorganization Plan
TO: All Staff

As I have mentioned on a number of occasions, we have reached the point in the evolution of our digital library where the entrepreneurial model of development no longer serves our longer term needs. Further, it is essential that we abandon any vestigial sense that digital library initiatives are not core or mission critical in terms of our overall service goals. Finally, we need to ensure that new initiatives and services are developed, and, perhaps more importantly, launched with the appropriate support mechanisms in place.

In light of the above, I am announcing the creation of a new unit that will be called the Digital Development Group. The Head of the unit will be Michael Winkler and, at least initially, the group will consist of Mike, Delphine Khanna, John Ockerbloom, Leslie Vallhonrat, and two programmer analysts.

In support of this reorganization plan, a number of other changes will be made. The current Information Systems Steering Committee will be replaced with the Digital Library Steering Committee. The initial members of this new group will be me, Sandra Kerbel, Michael Ryan, Michael Winkler, Roy Heinz, Nancy Rose and Ira Winston. Although the Chair will rotate, I’ve asked Sandra to be the first to assume that role.

To further organize our environment and ensure success, the current loose confederation of digital developers will be formalized with the creation of a standing Digital Developers Group. The group will consist of the key players in their various shops who work so hard to make our digital initiatives a reality: Roy Heinz, Grover McKenzie, Mike Winkler, Nancy Rose, John Ockerbloom, Delphine Khanna, Greg Bear, Joe Zucca, John Kiser, Marvin Weaver, Katherine Schultz and the two, to-be-hired programmers. I have asked Nancy Rose to Chair this group and to take responsibility for ensuring inter-departmental communications and effective project management.

These changes will result in more generalized, integrated and coordinated approach in support of our digital library goals. Project prioritization will be formalized which will result in shorter timelines from conception to completion with better-developed and better-supported products reaching the marketplace. Overall, it will make much more effective use of our limited human, technical and financial resources. This is an evolutionary process and other changes are sure to come but I firmly believe that this is the appropriate next step for us to take.

Note:

As in so many things, events move faster than our ability to respond to them. The reorganization described above has been in the planning for a number of weeks. During that period situations have come up that needed to be addressed before we moved forward with it. The most recent is a request from Roy Heinz for a Leave of Absence beginning this week and lasting for approximately two months. I’ve asked Grover McKenzie to step into the breach as Acting Director of Systems, which he has very graciously agreed to do.

In light of the uncertainty that this brings to our digital infrastructure and because I don’t have the time or expertise to provide the necessary hands-on support or guidance, I have asked Mike Winkler if he would assume a more overarching role between Systems and the Digital Development Group until our situation is stabilized. In this role, Mike will be responsible for making sure that both sides of the Library’s digital house work as one and that there is a coherence and permanence to our development and support operations.

This reorganization goes into effect immediately.

9/24 - John Keane: Traffic Advisory
FYI:

The University of Pennsylvania Police Department has just been notified by the City of Philadelphia administration that due to the political rally being held on Friday September 24, 2004 at Hill Field the following street closures will occur:
•  Chestnut Street will be closed to all vehicular traffic from 38th to 33rd Street starting at approximately 7am. This street will remain closed until the conclusion of the event.
•  33rd and 34th Streets between Market and Walnut Streets will be temporary closed during the movement of the motorcade. This will occur at approximately 11:30am.
The University of Pennsylvania Police Department will have extra staffing assigned to the area to assist the Penn community as needed.
9/22 - John Keane: Computer Fraud
FYI:

A University of Pennsylvania Faculty member received an e-mail on her University account purportedly from Citizens Bank requesting personal information. The e-mail reports that Citizens Bank is upgrading their software and request that you click on their website. When the website is clicked on, there is a request to enter personal information such as name, social security number, credit card account numbers etc. This is a fraudulent e-mail and website. It is known in law enforcement as "Phishing."

By hijacking trusted brand names of well-known banks, online retailers and credit card companies, phishers are able to convince up to 5% of recipients to respond to them. Do not allow yourself to be a victim of this crime. NEVER supply personal information to unknown e-mail request or websites. For more information on "Phishing" go to www.antiphishing.org

This is due to cement pouring at the Life Science construction site. This operation will take place bet. 7am and 4pm. All,

Please do not refer patrons to the Business Office if they ask where they can get change for paper currency. We are not set up to do that. Patrons can get coins for $1 and $5 bills in coin changing machines throughout the building. They can add value to PennCards or Copy Cards using the value transfer stations located throughout the building or they can add value to their cards using a credit card from any networked computer. If these measures cannot meet their needs, they can make a small purchase in the cafe to break a larger bill.

Well, the summer renovations are now complete and Mark's Café is back in operation. The manager, Kim Perssonatti, is anxious to hear from you. So please visit and see what is new and pass any suggestions/feedback to her or me.

I am happy to announce that for this fiscal year, from now until June 30, 2005, the Library and ARAMARK have come up with a special 10% discount on all purchases just for Library staff. To get the discount you must have a discount card which is available from Susan Kennedy in the Director's Office. With the introduction of the 10% discount, ARAMARK will be phasing out the "buy 10 beverages, get one free" loyalty program. For those of you using the loyalty program card, you may continue to use it until you redeem your free beverage or you may start using the new 10% card, but you may not use both.

If you are having a small meeting and wish to provide coffee to the attendees, Mark's has a "Joe to go" program in which they can supply cups and a large container of coffee for you to pick up. Please let them know a day in advance of your needs and contact the Library Business Office if you wish to charge it to your budget.

Treasurer's Office & Payroll Direct Deposit Fair

On Wednesday, September 15th, and again on Monday, October 20th, the Treasurer's Office and the Payroll Office will host a Direct Deposit Fair for employees to sign up for direct deposit of their paycheck.

Several local banks will be available to meet with you between 11:00 am and 2:00 pm on each of these days. The Direct Deposit Fair will be held at 3417 Spruce Street, in the 1st floor Reading Room. If your bank is not represented at the fair, a representative from the Payroll Office will be available to meet with you.

Light refreshments will be served for your enjoyment and you will have a chance to win a bookstore certificate by completing a payroll questionnaire!

Remember, no more waiting in long bank lines to cash your paycheck once you sign up for direct deposit!!

The Video Cataloging Team* is pleased to announce the arrival of VCat, the Library's new Video Catalog:
www.library.upenn.edu/catalogs/vcat

Linked from the Catalogs page on the library web, VCat provides quick and easy access to all of the films (currently over 6,500) held by the library. VCat searches all video records that are included in Franklin and retrieves bibliographic, holdings, and up-to-date circulation status information.

Searching in VCat is through individual or multiple keywords: names (actors, performers, directors, production crew, writers, composers, studios...), film titles, subjects, languages, format, the year of release, and all of the individual words that are part of the plot summary are searchable. The catalog also includes indexes that make it possible to browse by titles, personal names, or decades (representing the year in which a film was originally released).

Each brief VCat entry includes the film title, the year of the original release as well as the release date of the video/DVD, format, location (which campus library holds the film), call number, and current availability status. Clicking on the title opens a window that provides full bibliographic description, including subject headings.

Work on enhancing the catalog will continue over the course of the semester with a goal of adding an "advanced" search feature and additional browse indexes, so don't be surprised to see changes over the coming months.

This is to announce that we have hired a new staff member as HR Coordinator in the Library's HR Office. Her name is Andrea Luckey. Andrea comes to us from the School of Medicine where where she handled HR-related processes and procedures, including payroll, recruitment, and database maintenance for the Dept. of Pathology.

Andrea began her work here yesterday. She is "in training" and will be assisting us in many aspects of running the office, including payroll, time balance tracking and reporting, recruitment, and database and file maintenance. Please feel free to stop in to welcome her to our Library staff!

Sunday August 29th, 2004 begins the arrival of the University of Pa. students for the fall semester. In order to accommodate the needs of those moving into the various University residential buildings the following street closures and parking restrictions will take place:

Spruce Street from 34th to 38th street will be CLOSED to vehicular traffic on Sunday 8/29, Wednesday 9/1 and Thursday 9/2 from 8am to 4pm.

On street parking will be restricted in the following areas from Sunday 8/29 up to and including Monday 9/6:
•  Chestnut Street-34th Street to 37th Street-south side
•   Walnut Street-33rd to 34th- 38th to 40th street-south side
•   Spruce Street-36th to 38th street-both sides
•   Spruce Street-38th to 40th street-north side
•   Sansom Street-34th to 36th Street
•   33rd Street-Walnut to Chestnut-west side
•   34th Street-Walnut to Chestnut-east side
•   36th Street-Walnut to Chestnut-both sides
•   37th Street-Walnut to Chestnut-both sides
•   38th Street-Hamilton to Spruce Street-east side
•   40th Street-Spruce to Walnut-east side
Parking meters in the aforementioned areas will be marked "No Parking." These spaces are restricted to those involved in the College move-in. Parking regulations will be enforced by University of Pennsylvania Police.

Due to the Spruce Street closure, traffic delays are expected and it is suggested that you avoid the Spruce Street area.

Please notify staff personnel on your list serves and also any University vendors that use Spruce Street.

Please be extra careful today with email attachments. Even if you get official looking messages, beware of clicking on .zip or .exe links that may attempt to load a virus on your PC.

For example, we've seen mail sent from "administrator@pobox.upenn.edu" (a spoofed address) that warn your account has been used to send spam and advise you to click on a .zip link.

If you are unsure about a message with a link, please ask your local service provider for advice.

8/26 - Marjorie Hassen: New Look for Franklin
Over the past months the Library's Web Team and the OPAC Taskforce* have been working on ways to improve Franklin's display and functionality. The result is a new look for Franklin that incorporates a color scheme and several design elements that are more in tune with the library's current website, a number of minor changes that improve usability, and additional functionality that patrons should find beneficial. Be on the lookout for the debut of the "improved" Franklin on Thursday morning.

Some of the changes you will notice include search hints incorporated into the "search by" box, a revised set of choices in the "quick limits" box, a change in the names of various search types and buttons, and enhanced help text.

New functionality includes the implementation of two new elements, "bookbag" and "saved searches." The former permits saving of bibliographic records from a search result (akin to a shopping cart) and the latter, up to 25 different search strategies for later use. Both of these functions require login thorough "my account." You will also notice that the word "Location" that appears on each Franklin record is now a hypertext link. This will link to a web page that includes address and contact information for all libraries whose records are included in Franklin. We have also added a new view on the record display screen (in addition to brief, full, and staff) called "more like this." This view will provide direct links to the headings that are a part of the bibliographic record and should enhance patrons' ability to navigate the catalog. An open session to review these Franklin changes and enhancements will be held on Monday, August 30th at 10 am in the Class of '55 room. 8/26 - Bob Krall: BorrowDirect+ service now available (E-ZBorrow)
To Library Staff:

The library is pleased to announce the addition of another online direct borrowing service: E-ZBorrow! E-ZBorrow, like BorrowDirect, allows users to search the combined catalogs of member libraries, then directly place requests for books not available at Penn.

These two services are accessed from the BorrowDirect+ link on Penn Library web pages and from within Franklin. BorrowDirect+ enables patrons to connect to BorrowDirect or E-ZBorrow, links to more information about each, and also links to Interlibrary Loan request forms.

E-Z Borrow members include over 40 public and private academic and research libraries including Penn State, Rutgers, Pittsburgh, Temple, Haverford, Swarthmore, Bryn Mawr and Lehigh.

Like BorrowDirect, books requested through the system are usually available for pickup at Van Pelt Circulation within four days. Unlike BorrowDirect, E-Z Borrow books are checked out on your library patron record, and can be renewed for an additional 28 days beyond the original 28-day loan period.

8/18 - David Toccafondi: Library workstation security
Dear Staff:

I've received a few questions regarding the recent notice from the University about securing computer workstations against viruses and worms. I just wanted to reassure you that the library has already taken the steps recommended by the University to ensure a secure work environment.

You can further reduce your chances of getting a virus on your machine by following these practices:

1. Don't open email attachments you're not expecting.
2. Please continue to restart your workstation once a day to allow security updates to take effect.
3. Log out or lock your machine overnight.
4. Don't download games or other software from the Internet without first talking to your LSP.

As Penn employees, you are also able to use the University's site license to install the Norton/Symantec AntiVirus software on your home machines. It can be installed from the PennConnect CD, or downloaded from http://www.upenn.edu/computing/product/

Due to various University related move-ins, ongoing and upcoming construction projects, the following areas will be affected:
•  33rd Street between South St. and Walnut St: Use caution due to lane changes.
•  University Ave. between Spruce St. and Guardian Drive: Traffic will intermittently be reduced to single lanes due to installation of
utility lines.
•  Spruce Street: Will be CLOSED to vehicular traffic on Sat., 8/7, from 8am to 1pm, due to Quad move-ins.
•  3400 Walnut Street: Will be reduced to a single lane on Sat., 8/7, from 6am to 6pm, due to crane operation.
•  3600 Walnut Street: Parking will be prohibited on the north side of the street from the bookstore to the Inn at Penn,
Monday 8/9 thru 8/31, due to construction work.
•  Guardian Drive: Will be CLOSED from University Ave. to the Anatomy-Chemistry Bldg., Monday 8/16 thru Tuesday 8/31.
The Drive is accessible to emergency vehicles only.
•  North-Service Drive: Intermittent closures due to NEB construction.
The University of Pennsylvania Police Department will monitor these locations. If dangerous conditions are observed they will be immediately addressed.

8/03 - Emily Batista: Staff introduction to E-ZBorrow

Come to an information session to learn about the library's latest patron-initiated book request service, E-Z Borrow. This is the direct consortial borrowing service of PALCI, the Pennsylvania Academic Library Consortium, Inc., with over 40 participating private and public academic libraries. E-Z Borrow uses the same software for searching and requesting as Borrow Direct, and both services will be available to all Penn faculty, students and staff starting sometime in August.

No sign-up is necessary; but please check with your supervisor. Both sessions are in Class of '55.

7/29 - John Keane: Café Schedule
All,

Mark's Café will be closed for three weeks from August 14 until September 7 due to some much-needed repairs and minor construction that is long overdue. The vending area will continue to be open during that period. If the construction finishes early, the cafe space will be open, however, the ARAMARK operation will remain closed. It is also possible that Mark's may be open on a very limited basis (beverages only) for a few days just prior to September 7 as ARAMARK trains some new employees.

The new manager of the cafe is Kimberly Perssonatti. She is very anxious to meet Library staff and hear your input on how to improve service and menu offerings, so please stop by when you get a chance. She has many new ideas that you will hear about in the fall. As I have more details, I will pass them along to you.

7/16 - Nancy Rose: Restart computers at the end of your workday
Dear Library Staff,

The Systems Office Staff and Local Service Providers for departments met Thursday to discuss the process of patching computers and keeping them as secure and resistant to compromise as possible. Patches and anti-virus updates are loaded on all library computers during non-business hours. To ensure that these updates are effective, a reboot/restart is often required. To accomplish this, the Systems Staff and LSPs request that everyone restart their computer at the end of each workday.

As you are leaving, go to Start -> Shut Down and select Restart from the pull down menu. When you return the next day, your computer will be at the Login prompt, just as though you had logged out (which many people do now).

If you are taking planned time off, please do a full Shutdown of your computer and leave it off. Patches will get applied when you return and startup your computer.

We appreciate your attention to this matter. Please see your LSP if you have questions, or you may contact libtech@pobox or 8-4824.

We will discuss why you receive so much spam, how to reduce your chances of getting spam, and how to eliminate the spam that you do receive. We will discuss strategies of dealing with Spam with Webmail, Netscape Mail, and Mutt.

7/12 - Bob Persing: Retirement announcement
It is my sad duty to announce the forthcoming retirement of Louise Rees. Louise has been with the Penn Library for 36 years, first in the Van Pelt reserves unit, then as serials cataloger for over 20 years, and most recently as Head of Original Cataloging.

Louise's last day will be Tuesday, August 31st. Details about her retirement party will follow soon. In the meantime, please join me in thanking Louise for her years of service, and wishing her well for the future.

The Public Services Council has agreed that the Library should provide patrons with hours information as far in advance as possible. To that end, Sandra Kerbel asks that you post the hours for fiscal year 2004-2005 (7/1/2004-6/30/2005) on your library/service units web calendar before the end of July. Mike Winkler plans to roll over existing calendar data into 2005 next Tuesday, July 6th.

Heads of Public Services Libraries and Service Units (Chemistry, Engineering, Fine Arts & Image Collection, MPA, Museum, Music & Ormandy, Van Pelt, GUSC, ILL/DD, Storage) will receive a document to record their hours policies for future reference.

6/30 - John Keane: New Copiers
All,

FYI
This week, the University's leases on all of its photocopiers expired. The University's purchasing department has just concluded an extensive bidding process in which Buyers Labs Inc. was involved in specifying the best equipment and vendors were forced to compete against one another to provide the lowest possible lease price for like equipment. This process resulted in the contract being awarded to IKON Inc. This week the Library is the first unit on campus to start receiving new machines. The net result of the new contract will mean that we will have all new machines with the latest technology for both public and staff copiers AND we will pay significantly less (approx $100,000/year) than we have been paying. One of the main reasons for the savings was the inclusion of HUP's copiers in this contract for the first time (HUP has more copiers than the University). Since one of the weakest areas in the last Library user survey was patron dissatisfaction with copiers, we hope these new machines will show our users that we are addressing their complaints. As you can imagine, replacing over 50 Library copiers in a week won't be an easy task, so please be patient as the installations procede.

6/09 - Debra Bucher: 5th Annual Penn Library Social

RE: Request for volunteers for Freshmen Library Social, September 3

The Library will once again host the Penn Library Social for all Penn freshmen on Friday, September 3, 7-9pm in Van Pelt-Dietrich Library Center. This is our annual "party" for the freshmen, including a DJ, food, and scavenger hunt prizes. It's our chance to invite the new students in and show them what a wonderful facility and staff we have. Last year we again set a new record for the number of students who came; our Library Social is now "known" around campus, and it is mostly due to the wonderful work the Library staff does at this event.

So, I am once again soliciting your help. We need people to help us set up, greet freshmen, provide directional information, serve food, and work at scavenger hunt locations. As always, in return for your time--this is *strictly volunteer*--you will receive a free Penn Library Social t-shirt and free food (there is a pre-Social staff pizza party as well as copious amounts of food at the Social itself). You will also have a great time. I know everyone who has been here in the past has really enjoyed it. So if you missed it, here's your chance to join the fun this year. Of course, I would love for those who have volunteered in the past to join us again this year!

6/09 - Andrea Loigman: 4th floor shift to begin today
Dear Colleagues,
To alleviate overcrowding and enable patrons to more easily locate materials, the stacks staff will begin shifting the 4th floor of VPL today.

They will begin by temporarily moving all of the Yarnall materials that are not classed in LC to the old Medieval Studies Seminar Room on the 3rd floor. LC Yarnall books will remain on the 4th floor in the current Yarnall location.

Once the Yarnall materials have been relocated the stacks staff will begin shifting all of the books on the 4th floor, starting at the west end.

We will be posting signs with directional information to assist patrons in locating materials during this process.

I would like to thank the bibliographers for their work selecting materials for deposit at the High Density Storage Facility. The selection process, while ongoing, has made it possible to begin this long term project.

Please let me know if you encounter any problems related to the shift.

6/1 - Nancy Rose: Rosengarten Lab to close for re-carpeting
VPDLC Staff,
The Rosengarten Lab will close Thursday, June 3, at approximately 1:00pm in preparation for carpet installation on Friday.

The lab will remain closed until Monday noon at the latest. Depending on the completion time of the job on Friday, we may have at least part of the lab operational before the end of Friday. In the event no computers are reinstalled before the end of Friday, staff can let patrons know that they can use the following VPDLC computing facilities:
